First-Year Tax Tips for New Travel Advisors

Separating Finances from Day One

One of Andrew’s biggest tips for new advisors is to keep your business and personal finances separate. Open a business account if you don't already have one, and make sure all your transactions related to your travel advisor business go through it. Trust me, it will save you from headaches down the road.

Establishing a Tracking System

The next piece of advice? Set up a system to track your income and expenses. Whether it's a simple spreadsheet or a user-friendly software like Wave, start tracking now. This practice not only helps at tax time but also gives you a clearer picture of your business’s financial health.

To QuickBooks or Not to QuickBooks?

Andrew and I scratched the surface on accounting software. Should you dive into QuickBooks or stick to a trusty spreadsheet? According to Andrew, it's all about your business size and preference for automation. For many, a Google spreadsheet works just fine, while others may prefer the robustness of software once their business grows.

Understanding Quarterly Taxes and Business Deductions

It's crucial to know whether you need to pay estimated taxes—the IRS doesn't want all your money at once any more than you do. The concept of quarterly taxes is based on the previous year's earnings, and Andrew advises staying ahead to avoid penalties.

What About Travel Write-Offs?

A hot topic was the write-off eligibility for trips. Not every travel is deductible, so make sure your trip has a business purpose right from the start! Keep thorough documentation—think publication 463—as Andrew stresses the importance of showing why a day is deemed "business."

Can You Write Off That Cruise?

Andrew offers clarity on when you can write off cruises or travel by water, which has specific IRS rules. He also discusses the 'business day' concept, which depends greatly on your direct involvement in work activities.

Avoiding Audit Nightmares

Finally, let’s demystify the fear of audits. Just receiving an IRS audit notice doesn't mean you’ve done something wrong. While it might start with a simple letter, make sure your records robustly support your claims to avoid complications.
